Privacy in plain English
A quick summary to help you find your way. It isn't part of the legal text — the full wording below is what applies.
01Who we are
CopperFlash is a property marketplace and matching platform available through copperflash.com and related CopperFlash services. Depending on how you use CopperFlash, you may use the service as a buyer, tenant, seller, landlord or local trade professional.
For the purposes of UK data protection law, CopperFlash is responsible for deciding how personal information collected through the service is used (the “controller”).
If you have a question about this privacy notice or how your information is handled, please contact us through the contact facilities on the CopperFlash website.
02Information we may collect
The information we collect depends on the CopperFlash features you use. It may include:
- Account information — such as your name, email address, login details and account preferences.
- Property requirements — the areas, property types, price ranges, bedroom requirements and other preferences you choose when looking for a home.
- Property listing information — information supplied by sellers and landlords, including property details, descriptions, photographs, prices, location and contact-related information.
- Trader information — business details, service categories, service areas and profile information supplied by local trade professionals.
- Location information — where you choose to enable location-dependent features such as nearby property or Flash Alerts. The level of location information available depends on your device and the permissions you grant.
- Communications — information you send when you contact CopperFlash or use support facilities.
- Payment and subscription information — information relating to paid CopperFlash services. Payment card details may be processed by our payment provider rather than stored directly by CopperFlash.
- Technical information — such as IP address, browser or device information, logs and information generated when you use the website or app.
03How we use your information
We may use personal information to:
- create and manage your CopperFlash account;
- provide property search, matching and saved-requirement features;
- operate nearby property and other Flash Alert features you have enabled;
- publish and manage property or trader listings;
- allow users to contact or respond to relevant sellers, landlords or trade professionals through available CopperFlash features;
- provide subscriptions, paid upgrades and other requested services;
- send service messages, account notices and alerts you have requested;
- respond to enquiries and provide support;
- maintain security, prevent misuse and diagnose technical problems;
- understand how CopperFlash is used and improve the service; and
- meet legal, regulatory, accounting or fraud-prevention obligations.
CopperFlash does not give traders permission to contact registered buyers or sellers simply because they match a particular requirement. Users remain in control of who they choose to contact.
04Our legal bases
Under UK data protection law, we need a lawful basis for processing personal information. Depending on the circumstances, we may rely on:
- Contract — where processing is necessary to provide an account, listing, subscription or service you have requested.
- Legitimate interests — where reasonably necessary to operate, secure and improve CopperFlash, provided those interests are not overridden by your rights.
- Consent — where you have made a genuine choice, for example for certain optional location permissions or marketing communications. You can withdraw consent where it is the basis for processing.
- Legal obligation — where we must process information to comply with applicable law.
05Location and Flash Alerts
Some CopperFlash features are designed to notify you about relevant properties based on location. These features only work where the necessary location permission is available and enabled on your device.
You can control device location permissions through your browser, operating system or app settings. Disabling location access may prevent nearby-property features from working, but it should not prevent you from using ordinary property search features.
We use location information for the feature for which it was provided and for the operation, security and improvement of that feature. We do not claim access to your location when your device or browser has not provided it.
06When information may be shared
We do not sell your personal information.
We may share information where reasonably necessary with organisations that help us operate CopperFlash, such as website and cloud hosting providers, email and communications services, payment processors, analytics providers and technical support providers.
Information may also be disclosed where required by law, to establish or defend legal rights, to investigate fraud or misuse, or as part of a genuine business reorganisation or transfer where appropriate safeguards apply.
Where another CopperFlash user receives information because you deliberately contact them, enquire about a listing or otherwise choose to interact with them, their own handling of information may also apply.
07Cookies, analytics and similar technology
CopperFlash may use cookies and similar technologies needed for core website functions, security, account sessions, preferences and performance. We may also use analytics technology to understand how the service is used.
Where UK law requires consent for non-essential cookies or similar technologies, those technologies should not be used until the required choice has been made. You can also control cookies through your browser settings, although blocking essential cookies may affect parts of the service.
08How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including providing your account or services, resolving disputes, maintaining security and meeting legal, tax or accounting requirements.
Different categories of information may therefore have different retention periods. When information is no longer required, we will delete it, anonymise it or otherwise put it beyond ordinary use where appropriate.
09Keeping information secure
We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, alteration, disclosure or loss. No internet service can guarantee absolute security, so you should also protect your account credentials and tell us if you believe your account has been compromised.
10Your UK data protection rights
Depending on the circumstances, UK data protection law may give you rights to:
- ask for access to personal information held about you;
- ask us to correct inaccurate or incomplete information;
- ask for personal information to be erased in certain circumstances;
- ask us to restrict certain processing;
- object to processing based on legitimate interests or to direct marketing;
- receive certain information in a portable format where the right applies; and
- withdraw consent where processing relies on consent.
These rights are not absolute and exemptions can apply. We may need to verify your identity before acting on a request.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection. We would appreciate the opportunity to address your concern first, but you do not have to contact us before approaching the ICO.
11Children
CopperFlash is a property service intended for people capable of entering into the relevant property, account or service arrangements. It is not designed as a service directed at children. If we become aware that personal information has been provided by a child in circumstances where it should not have been collected, we will take appropriate steps.
12Changes to this privacy notice
We may update this privacy notice as CopperFlash develops, including when new website or app features are introduced or our legal obligations change. The latest version will be published on this page and the “Last updated” date will be changed when appropriate.
